Welcome to Expense Lens. Please read these Terms of Service ("Terms") carefully before using our service. They explain your rights, our rights, and what you can expect from us.
By using Expense Lens, you agree to these Terms. If you don't agree, please don't use the service.

1. Acceptance of Terms
By accessing or using Expense Lens — including our website at expense-lens.com, our web application, our email-in receipt feature, or any related services — you agree to be bound by these Terms.
You must be at least 18 years old to use Expense Lens. By creating an account, you confirm that you are 18 or older and have the legal capacity to enter into this agreement.
We may update these Terms from time to time. When we do, we'll update the "Last updated" date at the top and notify you by email at least 30 days before material changes take effect. Your continued use of the service after changes take effect means you accept the updated Terms. If you disagree with any changes, you may cancel your account before they take effect.
2. Description of Service
Expense Lens is a web-based software-as-a-service (SaaS) application that helps you scan receipts and track expenses using artificial intelligence.
Here's what the service includes:
- AI-Powered Receipt Scanning — Upload or email in receipts, and our AI extracts key data like merchant name, date, amount, and category. Our AI extraction is powered by Google AI (Gemini), not traditional OCR.
- Expense Tracking — Organize expenses into projects, track spending over time, and export your data.
- Smart Category Learning — Our AI learns your categorization patterns and gets smarter the more you use it.
- Multi-Currency Support — Support for 170+ currencies with exchange rate data via Open Exchange Rates.
- Email-In Receipts — Each account gets a unique ingest email address. Forward receipts directly from your inbox.
Expense Lens is designed for individuals — freelancers, expats, digital nomads, and anyone who needs a simple way to manage personal or small-business expenses. It is not an enterprise accounting platform.
We aim to keep the service available and reliable, but we do not guarantee 100% uptime. We may occasionally perform maintenance, updates, or experience outages. We'll do our best to notify you in advance of planned downtime.
3. Accounts & Registration
To use Expense Lens beyond the free test scans, you need to create an account.
When you register, you agree to:
- Provide accurate, current, and complete information (name, email, etc.)
- Keep your account information up to date
- Keep your password secure and confidential
- Not share your account with others — each account is for one person
- Notify us immediately at [email protected] if you suspect unauthorized access
You are responsible for all activity under your account, whether or not you authorized it. If someone accesses your account because your password was compromised, you're responsible for any actions taken.
We reserve the right to suspend or terminate accounts that violate these Terms, provide false information, or are used for fraudulent purposes.
4. Subscription & Payment

Expense Lens offers three paid subscription plans:

All prices are in US Dollars (USD). Annual plans are billed as a single payment at the start of each billing year.
Billing
All payments are processed securely through Stripe. We do not store your credit card details directly — Stripe handles that. By subscribing, you authorize Stripe to charge your chosen payment method on a recurring basis.
Auto-Renewal
Your subscription renews automatically at the end of each billing period (monthly or annually) unless you cancel before the renewal date. You'll be charged the then-current rate for your plan at each renewal.
Cancellation
You can cancel your subscription at any time from your account settings.
- When you cancel, you keep access until the end of your current billing period. Your subscription simply won't renew.
- No refunds are issued for partial billing periods. If you cancel mid-month or mid-year, you won't be charged again, but you won't receive a prorated refund for the unused time.
Price Changes
We may change our pricing from time to time. If we do, we'll give you at least 30 days' written notice via email before any price change takes effect. The new price will apply to your next billing cycle after the notice period. If you don't agree with the new pricing, you can cancel before it takes effect.
EU Consumer Rights
If you are a consumer in the European Union, you have the right to withdraw from a digital service purchase within 14 days under the EU Consumer Rights Directive. The 14-day withdrawal period begins when your paid subscription starts — free trial scans do not count as use of the paid service for withdrawal purposes. However, by performing a receipt scan on a paid plan, you acknowledge that the digital content delivery has begun and you consent to waive your 14-day right of withdrawal to the extent permitted by applicable law.
If you haven't performed any scans on your paid plan within the 14-day withdrawal period, contact [email protected] for a full refund.
5. Free Test Scans
Every new user gets 5 free receipt scans — no credit card required. This lets you try Expense Lens before committing to a paid plan.
Here's how it works:
- You can scan up to 5 receipts for free. The full AI extraction, categorization, and data export features are available during this trial.
- Once your 5 free scans are used, you'll need to choose a paid subscription plan to continue scanning.
- There is no obligation to subscribe. If you decide Expense Lens isn't for you, you can simply stop using it.
- Free scan data remains in your account and is accessible if you later subscribe.
6. Acceptable Use
We want Expense Lens to be useful and safe for everyone. When you use the service, you agree not to:
- Upload illegal content — Don't scan or store documents that are illegal, obscene, threatening, defamatory, or that violate anyone else's rights.
- Submit fraudulent receipts — Don't use Expense Lens to fabricate, alter, or misrepresent financial documents for tax fraud, insurance fraud, or any other dishonest purpose.
- Reverse engineer the service — Don't attempt to decompile, disassemble, reverse engineer, or otherwise extract the source code of Expense Lens.
- Resell or redistribute — Don't resell, sublicense, or provide access to Expense Lens to third parties as part of your own product or service.
- Circumvent limits — Don't try to bypass scan limits, project limits, or other usage restrictions of your plan (e.g., by creating multiple free accounts).
- Abuse the infrastructure — Don't use automated tools, bots, or scripts to access the service in a way that puts unreasonable load on our systems.
- Interfere with security — Don't attempt to gain unauthorized access to other users' accounts, our servers, or any systems connected to the service.
Your plan includes specific scan and project limits. If you exceed your monthly scan limit, additional scans will be unavailable until your next billing cycle or until you upgrade your plan.
We reserve the right to remove content and suspend or terminate accounts that violate these rules, at our discretion and without prior notice.
7. Intellectual Property
What We Own
Expense Lens — including the application, website, brand, logo, design, code, AI models, documentation, and all related intellectual property — is owned by Expense Lens and its licensors. These Terms do not grant you any ownership rights in the service.
You receive a limited, non-exclusive, non-transferable, revocable license to access and use Expense Lens for your personal or small-business expense tracking purposes, in accordance with these Terms and your subscription plan.
What You Own
You retain full ownership of your data. Your receipts, expense records, categories, notes, and any other content you upload or create in Expense Lens remain yours.
By using the service, you grant us a limited license to process, store, and display your data solely to provide and improve the service. This includes sending your receipt images to our AI provider (Google AI/Gemini) for data extraction. We do not sell your data or use it for unrelated purposes.
When you delete your account or your data, we remove it in accordance with our Privacy Policy and Section 11 (Termination) of these Terms.
8. Privacy & Data
Your privacy matters to us. Our full Privacy Policy explains in detail how we collect, use, store, and protect your personal information. By using Expense Lens, you also agree to our Privacy Policy.
Here's a brief summary:
- What we collect: Account information (name, email), receipt images and extracted data, usage data, and payment information (processed by Stripe).
- How AI processes your data: When you scan a receipt, the image is sent to Google AI (Gemini) for data extraction. Google processes this data on our behalf under a data processing agreement. Your receipts are not used to train Google's general AI models.
- Where your data is stored: Your data is stored on Google Cloud / Firebase infrastructure.
- Data transfers: Your data may be transferred to and processed in countries outside your home country. We use appropriate safeguards (including Standard Contractual Clauses where required) to protect your data during international transfers.
GDPR Compliance (EU/EEA Users)
If you're in the European Union or European Economic Area, you have rights under the General Data Protection Regulation (GDPR), including the right to access, correct, delete, port, and restrict processing of your personal data. You also have the right to object to processing and to lodge a complaint with your local data protection authority. To exercise any of these rights, email [email protected].
Swiss Federal Act on Data Protection (FADP)
As a Swiss-based service, Expense Lens complies with the Swiss Federal Act on Data Protection (FADP / nDSG). Swiss users have rights similar to those under GDPR, including access, correction, and deletion of personal data.

9. AI Disclaimer
Expense Lens uses artificial intelligence (Google AI/Gemini) to extract data from your receipts. While our AI is designed to be helpful and accurate, you need to understand its limitations:
AI extraction is not 100% accurate. The AI may misread amounts, dates, merchant names, currencies, categories, or other data from your receipts. Factors like image quality, receipt formatting, handwriting, fading ink, and unusual layouts can all affect accuracy.
You are responsible for verifying all AI-extracted data. Always review the extracted information and correct any errors before relying on it for financial decisions, tax filings, expense reports, or any other purpose.
Expense Lens is NOT financial, tax, legal, or accounting advice. The service is a data extraction and organization tool — nothing more. It does not replace professional financial advice, tax preparation services, or certified accounting.
Do not rely solely on Expense Lens outputs for tax filings, audits, or legal matters. Consult a qualified accountant, tax professional, or financial advisor for these purposes.
You assume full responsibility for how you use the data extracted by our AI. Expense Lens shall not be liable for any decisions made, actions taken, or tax filings submitted based on AI-extracted data.
10. Limitation of Liability
Service Provided "As Is"
Expense Lens is provided "as is" and "as available", without warranties of any kind, whether express, implied, or statutory. We disclaim all warranties, including implied warranties of merchantability, fitness for a particular purpose, accuracy, and non-infringement.
We do not warrant that:
- The service will be uninterrupted, error-free, or secure
- AI extraction results will be accurate or complete
- The service will meet your specific requirements
- Any errors in the service will be corrected
Cap on Liability
To the maximum extent permitted by law, our total liability to you for any claims arising from or related to these Terms or your use of Expense Lens is limited to the total amount you paid us in the 12 months immediately preceding the event giving rise to the claim.
If you're on a free plan or haven't paid anything, our maximum liability is $50 USD.
No Indirect Damages
In no event shall Expense Lens be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to:
- Loss of profits, revenue, or business
- Loss of data or data corruption
- Inaccurate tax filings or financial losses based on AI-extracted data
- Loss of goodwill
- Cost of substitute services
This applies regardless of the legal theory (contract, tort, negligence, strict liability, or otherwise), even if we've been advised of the possibility of such damages.
Indemnification
You agree to indemnify and hold harmless Expense Lens, its founder, employees, and agents from any claims, damages, losses, or expenses (including reasonable legal fees) arising from:
- Your use of the service
- Your reliance on AI-extracted data
- Your violation of these Terms
- Your violation of any applicable law
- Any content you upload to the service
Local Law Exceptions
Some jurisdictions do not allow limitations on implied warranties or exclusions of certain damages. If these laws apply to you, some or all of the above limitations may not apply, and you may have additional rights.
11. Termination
By You
You can close your account at any time from your account settings or by emailing [email protected].
When you cancel:
- Your paid subscription stops renewing, but you keep access until the end of your current billing period.
- You have 30 days after account closure to export your data (receipts, expense records, reports). Use the export feature in your account settings while your account is still active, or email us during the 30-day window.
- After 30 days, your data will be permanently deleted from our systems, including backups, within a reasonable timeframe. Some anonymized, aggregated data may be retained for analytics purposes.
By Us
We may suspend or terminate your account immediately and without notice if:
- You violate these Terms (especially acceptable use rules)
- You engage in fraudulent activity
- You fail to pay subscription fees after reasonable notice
- We're required to by law
In less serious cases, we'll try to give you notice and a chance to fix the issue before taking action.
Effect of Termination
Upon termination, your right to use the service ends. Sections that by their nature should survive termination will survive, including: Intellectual Property, AI Disclaimer, Limitation of Liability, Indemnification, and Governing Law.
12. Governing Law & Disputes
Applicable Law
These Terms are governed by and construed in accordance with the laws of Switzerland, without regard to conflict of law principles.
Jurisdiction
Any disputes arising from or relating to these Terms or your use of Expense Lens shall be subject to the exclusive jurisdiction of the courts of Switzerland, unless mandatory consumer protection laws in your country of residence require otherwise.
EU Online Dispute Resolution
If you are a consumer in the European Union, you may use the EU Online Dispute Resolution (ODR) platform to resolve disputes online. The ODR platform is available at: https://ec.europa.eu/consumers/odr

13. General Provisions
Severability
If any provision of these Terms is found to be unenforceable or invalid by a court of competent jurisdiction, that provision will be modified to the minimum extent necessary to make it enforceable, or severed if modification isn't possible. All other provisions remain in full force and effect.
Entire Agreement
These Terms, together with our Privacy Policy and any plan-specific terms presented during subscription, constitute the entire agreement between you and Expense Lens regarding your use of the service. They supersede any prior agreements, communications, or understandings, whether written or oral.
Modifications
We may modify these Terms at any time. For material changes, we will provide at least 30 days' notice via email to the address associated with your account. Non-material changes (such as formatting or clarification) may be made without notice.
It's your responsibility to keep your email address up to date. We are not liable if you miss a notification because of an outdated email address.
Force Majeure
Expense Lens shall not be liable for any delay or failure to perform resulting from causes beyond our reasonable control, including but not limited to: natural disasters, pandemics, war, terrorism, government actions, power outages, internet disruptions, failures of third-party services (including Google Cloud, Google AI, Stripe, or Open Exchange Rates), cyberattacks, or labor disputes.
Assignment
You may not assign or transfer your rights or obligations under these Terms without our prior written consent. We may assign our rights and obligations without restriction.
No Waiver
Our failure to enforce any provision of these Terms does not waive our right to enforce it later.
